Dear Dovetail Collective members-
As you know, a group of us met in Ann Arbor last week to draft a
Dovetail Collective mission statement and discuss ways to make the DtC
more "collective" etc. We came up with some changes to the division of
labor of the Dovetail, creating a rotating Editor for each issue, and
one-year terms for a Bookkeeper, Distributor, and PR person. This
will ultimately change how you submit entries, money,etc. so please
read below(it's lengthy, but important)...
1.Mission statement
The proposed mission statement that we came up with is:
"an ongoing and tactile conversation, through ever-changing media, and
amongst an open and growing community, which promotes and catalyzes
connection, creative artful endeavors, and shared and individual
learning."
If you have any edits/additions to this, please let the group know and
we can propose a new draft.
2. Division of Labor:
We came up with the following new roles, in order to operate as more
of a collective and to alleviate some of Emily's work and
responsibility. These new roles will begin in December and be
implemented by the January 2007 issue. These roles will always be
determined for the upcoming year for ease of use . We will try to
hold another organization meeting of Dovetail members next summer.
The new roles are:
1) Rotating Editor: the editor position will change with each issue.
The editor is responsible for determining the theme, doing the layout,
and sending 2 copies of the layout to the Distributor by the
deadline(a calendar of deadlines has being drafted by Michael and Abra
and is at the bottom of this e-mail.). The editor has the freedom to
edit, move things and cut up entries.
2) Distributor: serves a one-year term. This person is responsible for
making copies and distributing to all Dovetail member/subscribers.
S/he must work closely with the Bookkeeper to reimburse themselves for
money spent on copies, envelopes, and postage.
3) Bookkeeper: serves one-year term. Responsible for Creating Paypal
account and maintaining access to it. responsible for reimbursing
Distributor for copies and postage and Editor for any expenses. Keeps
track of subscriptions ($4 per issue)
4) Communicator: serves a one-year term. Manages blog and myspace and
sends out e-mails. Puts update in each Dovetail issue.
5) Contributors: most importantly
6) Grantseeker: will wait one year to fill this position.
For ease of use, all these roles will be filled before the upcoming
year. The working year for the new roles will begin in December 2006
(with the January 2007 issue).
In order to implement these new roles, we need people to fill them.
We need 6 editors for the upcoming year (one for each issue: Jan.,
March, May, July, Sept. and Nov.) and a Distributor and Bookkeeper.
If you are interested in being an editor or filling the Distributor or
Bookkeeper roles, e-mail me asap, and if more than one person is
interested in a particular role, you can play virtual rock paper
scissors for it.
Once the editors for the next year are determined and they have
determined the themes for their issues, I will e-mail the group with
the info, themes, where to send submissions, etc.
I will continue to be the Communicator until we make the transition.
3. Money
The Dovetail will still appear bi-monthly (6 times per year). As I am
no longer able to receive free copying and have put in a significant
amount of my own money for publication and mailing, we will need to
start charging subscriptions. To have the Dovetail Collective sent to
your home, you now MUST buy a subscription. The subscription will be
$24 for the entire year, which breaks down to $4 per issue. While $4
per issue may seem to be a lot, this will all be entered into the
Dovetail Collective bank account and can be used to cover any hidden
costs, i.e. a future audio or alternative media edition. As always,
the Dovetail is not-for-profit, so all subscription charges will go to
cover production and distribution costs. If you would like to see
records of our finances, feel free to contact the Bookkeeper once s/he
has been determined.
The new subscription policy will start in the upcoming year. Once we
have a Bookkeeper they will notify you on where to send your
subscription $.
4. Other:
-In the future, we could have an issue where each person designs their
own half page.
-Themes: There is always room for submissions that don't fit the theme
-The Dovetail Collective can be used for other endeavors, for example,
the Dovetail could help "publish" a book of one individual member's
poems. The cost would be the author's, but could be distributed
through the Dovetail network, use the Dovetail name, etc.
-Members: Anyone can submit and be part of the Dovetail Collective,
but you must pay to have a copy sent to your house.
5. Means of Communication amongst the collective:
-e-mail. Take responsibility to e-mail PR person if you will be out
of e-mail contact.
This is a lot of information and a significant change. If you have any
questions/thoughts, please let me know. It will also probably become
more clear once the roles for the upcoming year have been determined.
